Translating the Drawing: Making Technical Work Legible to a Non-Technical Board

An architect can read a section drawing the way a musician reads a score, hearing the whole building in a few lines that mean almost nothing to anyone else in the room. That gap between how the design team sees a drawing and how a planning board, a client committee, or a project owner sees the same page is one of the most underestimated risks in any presentation, and it has nothing to do with whether the design itself is any good.

The Ten-Second Test

Most people in a review room decide whether an image is worth their attention within about ten seconds. If a plan, elevation, or section requires the viewer to first learn how to read it before they can find the point being made, that window closes before the message lands. A drawing built for another architect assumes fluency the audience doesn't have. A drawing built for a review assumes nothing, and instead leads the eye directly to the one or two things that matter for the decision at hand, whether that's a setback line, a sightline, or a cost driver.

Diagrams as a Second Language

The fix is rarely to simplify the design. It's to build a second, parallel visual language just for the presentation: color-coded overlays that isolate one variable at a time, simple massing diagrams instead of construction-grade sections, and scale comparisons that put an unfamiliar dimension next to something the audience already understands, like a parking space or a school bus. These diagrams are not a dumbed-down version of the real drawings. They are a translation layer that does the interpretive work the audience would otherwise have to do themselves, on the spot, under time pressure.

Why Section Drawings Fail in the Room

Section drawings are usually the first casualty in a public review, because they are the most abstract format architects use and the least intuitive to anyone without training. A hatched wall assembly, a datum line, a spot elevation stacked on a spot elevation, all of it reads as noise to someone who has never had to draw one. When a presenter puts a raw construction section on screen and starts narrating it line by line, most of the room disengages within the first sentence. The information in that drawing usually still matters, but it needs to be pulled out and restated as a labeled diagram or a short callout before it does any persuasive work.

One Idea Per Slide

A useful discipline is pairing every visual with exactly one sentence stating the decision it supports, written down before the slide is finalized. If that sentence is hard to write, the slide is probably trying to do too much. A floor plan covered in dimension strings, room labels, and furniture layouts might be complete and accurate, and still fail in a review because the viewer can't tell which of the forty things on the page they're supposed to look at. Stripping a slide down to the one idea it needs to carry, and trusting a separate slide to carry the next idea, almost always outperforms a single dense drawing trying to do the work of five.

Testing the Deck on a Stranger

The most reliable way to catch a drawing that only makes sense to architects is to show the deck to someone who isn't one, before the real audience sees it. A junior team member from another department, a spouse, anyone without design training can usually spot within a few slides exactly where they got lost, and that feedback is far more useful than another round of internal review among people who already understand the project. Firms that build this step into their process consistently catch confusing images before a board or client ever has to ask what they're looking at.

The Bottom Line

None of this is about lowering the technical quality of the work. It's about recognizing that a drawing built to direct a contractor and a drawing built to persuade a board are doing two different jobs, even when they describe the same building. Firms that treat the translation step as part of the design process, rather than an afterthought handled the night before a presentation, consistently get a fairer hearing for work that was already good enough to deserve one.
